At Excel Hotels & Resorts we know that a wedding is a celebration of families, friends, vendors, room, food and several functions.
This Wedding Policy outlines the general terms surrounding wedding and celebration bookings to be made with Excel Hotels & Resorts. Each wedding's commercial terms will be finalised in the event proposal and signed agreement of the property.
1. Wedding Booking Confirmation
The date and place of a wedding are deemed to be "confirmed" only after the applicable booking requirements and booking process have been fulfilled.
The hotel will need a signed agreement and an advance payment before it will book the event.

The final payment schedule, including advance amount and payment milestones, will be specified in the wedding agreement.
2. Wedding Proposal & Agreement
The wedding proposal may include:
- Selected venue
- Event dates
- Guest accommodation
- Function schedule
- Food and beverage arrangements
- Décor requirements
- Entertainment
- Event services
- Applicable taxes
- Additional services
The signed agreement will form the basis of the wedding arrangements.
3. Final Guest Count
The final number of attendees is to be provided by the wedding organiser within the timelines as agreed in the event agreement.
The final number of guests may be used for:
- Catering
- Seating
- Venue setup
- Accommodation
- Event planning
- Guest services
Changes after the agreed deadline may be subject to availability and additional charges.
4. Wedding Functions
Depending on the selected property and venue, wedding celebrations may include functions such as:
- Mehndi
- Haldi
- Sangeet
- Cocktail
- Baraat
- Varmala
- Wedding ceremony
- Pheraas
- Reception
- Other social functions
The availability of specific venues for individual functions must be confirmed with the property.
5. Venue Allocation
The venue will be allocated based on the approved wedding proposal and event agreement. If for any operational, safety, weather or other reason the originally planned layout is deemed unsuitable, the hotel may recommend alternative arrangements.
6. Event Timings
Wedding timings should be adhered to according to the event timings agreed with the property. Times may change based on:
- Property
- Venue
- Local regulations
- Noise restrictions
- Government requirements
- Event format
The final event schedule will be determined in conjunction with the wedding team.
7. Décor
Decorations must be approved by the property prior to decoration. Décor should not damage:
- Walls
- Floors
- Furniture
- Landscaping
- Pool areas
- Electrical systems
- Hotel structures
Occasionally the hotel requires modifications to décor plans when they pose a safety concern, or operational or property protection issue.
8. External Vendors
External vendors may be subject to prior approval by the property. This may include:
- Decorators
- Photographers
- Videographers
- DJs
- Entertainment artists
- Production companies
- Event agencies
- Other specialist vendors
The final vendor policy applicable to the selected property will be communicated during event planning.
9. Catering & Food
Food and beverages will be arranged based on the approved menu and event proposal for weddings. Any special dietary needs should be indicated prior to the booking.
Food may be restricted outside of the home based on property.

10. Alcohol & Bar Arrangements
The provision of alcohol at a wedding function is governed by applicable laws, licensing and the approved provision of the premises. Alcohol may be prohibited outside depending on the individual property.

The organiser of the wedding has a duty to ensure that all legal aspects of the bringing in and serving of alcohol at the wedding are adhered to.
11. Music & Entertainment
Events that involve music, DJs, live performances and entertainment must adhere to law, venue restrictions and event timing. Prior approval of hotel entertainment setups, sound and production arrangements may be required by the hotel.
12. Fireworks & Special Effects
Fireworks, pyrotechnics, open flames, smoke effects, cold fireworks, confetti cannons or any other special effects are not allowed unless specially authorized by the hotel and/or legalized.
All special effects approved must meet all relevant safety and regulatory standards.
13. Guest Accommodation
Wedding guests will be roomed, as space allows, based on an approved rooming list. The wedding organizer should provide the final room details within the time limit given by the hotel.
Any additional rooms requested after the agreed rooming date will be dependent on availability.
14. Guest Conduct
The wedding organizer is in charge of making sure that guests and vendors adhere to reasonable hotel rules. Guest and visitor behavior is expected to be respectful of:
- Other hotel guests
- Hotel staff
- Hotel property
- Safety procedures
- Venue restrictions
- Noise requirements
- Pool and recreational-area rules
15. Damage to Property
The wedding planner can be held liable for any damages over reasonable wear and tear by guests, vendors or events staff. The hotel may be reimbursed for reasonable repair or replacement cost if applicable.
16. Event Setup & Dismantling
The décor, setup for productions and vendors should only be done during the time approved by the hotel. Any materials relating to the event need to be taken away during the agreed dismantling time. Vendors will adhere to the hotel's operational and safety guidelines.
17. Photography & Videography
Wedding photography and videography is allowed, as long as it is reasonable in terms of hotel rules and access to the venue. Photographers and videographers are not permitted to disrupt hotel activities, cause damage to property or interfere with other guests.
18. Drone Photography
Property approval and restrictions may apply, as may aviation regulations, to drone photography and videography. No drone will be allowed to operate off the property without approval and necessary permissions.
19. Outdoor Events & Weather
Outdoor wedding functions are subject to weather and site conditions. Where weather conditions create a safety or operational concern, the hotel may recommend an alternative venue or backup arrangement. A contingency plan for an outdoor event should be discussed while planning the wedding.
20. Forest & Local Permissions
Some wedding activities, guest transport, photography and outdoor events or experiences will require permission from local authorities or relevant agencies. If these arrangements are included in the approved wedding programme, the hotel team can help with co-ordination, where appropriate. Where applicable, these fees, permits or approvals may be paid separately and are a requirement of the government or authority.
21. Taxes & Additional Charges
Any taxes that apply will be charged in accordance with prevailing legislation. Requests for extra services after the time of confirmation will incur extra charges. Such charges should be communicated to the wedding organiser prior to provision of the wedding, where reasonably possible.
22. Cancellation & Postponement
The cancellation terms outlined in the signed wedding agreement govern the cancellation and postponement of the wedding. Wedding bookings may have different cancellation terms as compared to other room or hotel reservations due to advanced planning of venue, accommodation, catering and vendor arrangements.

23. Postponement
Requests to postpone a wedding are subject to:
- New date availability
- Property availability
- Applicable rates
- Seasonal pricing
- Vendor commitments
- The signed wedding agreement
A postponed event may require revised commercial terms.
24. Force Majeure
If there are circumstances outside of the reasonable control of the hotel that materially impact an event, Excel Hotels & Resorts will review the situation based on the event agreement and applicable circumstances.
25. Final Event Requirements
Before the wedding, the organiser may be required to provide final confirmation of:
- Guest count
- Rooming list
- Function schedule
- Menus
- Décor
- Vendor list
- Entertainment
- Technical requirements
- Special requests
- Transportation requirements
- Other event requirements
26. Event Agreement Prevails
If a separate wedding/event agreement has been signed, then any commercial and operational terms agreed in the special agreement shall apply to the wedding.
